The Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC,
hereinafter referred to as GDPR, is a common and uniform legal regulation of European Union countries, adopted to increase the protection of the rights and freedoms of individuals.
Scope of personal data and methods of collection:
The website operated by us collects information about users and their behavior in the following ways:
- Through information voluntarily provided by users: in forms and via chat.
- Through the storage of cookies on end-user devices.
- Through the collection of server logs by the hosting operator, Dogmat Systemy Services Sp. z o.o.
- Through profiles on social media platforms Facebook (Meta) and LinkedIn.
What all this means and why we do it is explained in detail below.
2.1. Information voluntarily provided in forms and chat, such as: name, email, and phone number are collected so that the user can effectively contact us. The website may also record connection parameters (timestamp, IP address). We process this data to respond quickly to user inquiries in the chosen manner. Timestamp and IP address are required for potential user claims related to the inquiry and to measure employee performance.
We also communicate via messages sent through the chat with our representative, enabling immediate response to user questions. Data provided in forms or via chat is not shared further unless necessary for handling the inquiry and if the user consents. Information provided in forms is also processed for the purpose of service request handling. Data provided in forms and through chat may be shared with entities technically providing certain services – particularly for domain registration, payment service providers, or other cooperating entities. These are trusted partners who guarantee full compliance with personal data protection.
The user’s email may also be used to verify identity by sending a confirmation email with a link. If consent is given, we further process the name, email address, and phone number obtained in this way for marketing our services. This allows us to prepare offers better suited to the user’s needs.
Processing data in this way is our legitimate interest (as per Article 6(1)(f) GDPR) as it facilitates the use of the website and our services, improves service quality, and allows us to verify actual events in such communication. Voluntarily provided personal data is processed no longer than required to resolve the matter unless further processing is necessary under general law for other purposes. Additional user rights regarding these data are detailed below.
In relation to the processing of personal data as described above, users have the right to:
- delete voluntarily provided personal data,
- withdraw consent for data processing – except for data necessary to establish and pursue claims,
- access personal data, correct, update, restrict processing, or transfer data,
- lodge a complaint with the supervisory authority (President of the Personal Data Protection Office).
2.2. Information about cookies
The website uses cookies.
Cookies are IT data, particularly text files stored on the user’s device (computer, tablet, smartphone) intended for use on the website. Cookies typically include the website name, storage duration, and a unique number. The entity placing cookies on the user’s device and accessing them is the website.
Cookies are used for:
- Creating statistics to understand how users use the website, enabling improvement of its structure and content;
- Determining user profiles to display tailored content in advertising networks, particularly Google.
The website uses two main types of cookies: “session” and “persistent.” Session cookies are temporary and stored until logout, leaving the site, or closing the browser. Persistent cookies remain on the user’s device for a set period or until deleted.
Web browsers usually allow cookies by default. Users can change settings to delete or block cookies. Disabling cookies may affect certain functionalities of the website. Cookies may also be used by advertisers and partners cooperating with the website operator. We recommend reading the privacy policies of these companies: Google Analytics Privacy Policy, Facebook (Meta) and LinkedIn Privacy Policies.
Cookies may be used by advertising networks, particularly Google, to display ads tailored to user behavior. For this purpose, information on navigation paths or time on pages may be stored. Remarketing and Similar Audiences functions allow targeting users who previously visited our or similar websites. Users can view and edit Google’s cookie-based preference information here: https://www.google.com/ads/preferences/.
Processing such collected data is done with user consent expressed through browser settings. If cookies allow user identification and thus become personal data, such data is processed for:
- Ensuring proper service, statistical, archival, and communication purposes, and for remarketing. Collected cookie data is processed for the duration of the cookie or longer if user claims arise. This aligns with our legitimate interest under Article 6(1)(f) GDPR.
2.3. Server logs
Information about certain user behaviors is logged at the server level. These data are used solely for website administration and efficient hosting service delivery.
Viewed resources are identified by URLs. Additionally, the following may be logged:
- Timestamp of request,
- Response time,
